Terms and conditions
Reservations:

Booking of a party/event is done exclusively via email.

All events must be reserved at least 7 working days before the event date.

For menu requests, you must choose the same starter, main course, and dessert for the entire group, excluding those with dietary restrictions.

Due to the use of fresh products, it may happen that some ingredients are not available (due to season, supply, market availability, etc.). These will be replaced with equivalent products of the same quality and price.

Dietary restrictions must be communicated at the same time as the menu, as well as the room setup details (at least 5 working days before the event date).

The final number of guests can be modified up to 1 working day before the event (before 11 A.M.) via email (restaurant2272@aramark.be). The last number communicated will be invoiced. If more guests are present during the event than initially communicated, the additional guests will also be invoiced.

Events organized outside the standard event booking may be subject to price adjustments, even if a price has already been communicated by Aramark NV, in case of increased material costs due to daily market fluctuations.

Prices in quotations remain valid for the dates mentioned in the offer.
Additional Costs:

Delivery requests will be charged €28.00.

Room setup will be charged at €50.00.

For our catering services, any broken or lost material will be charged at a flat rate of €5.00 per piece.

Corkage fee: A fee of €7.00 will be charged for each bottle (wine, cava, champagne, spirits) brought by the customer.
Invoices:

Any invoice request under €125 will not be accepted.

For deliveries to the Staff Center / Building MW, a fee of €50 excluding VAT applies.

For events in the Staff Center / Building MW, a setup fee of €150 excluding VAT will be charged.

Any order to be invoiced without a PR/PO/ED/TR/RT number will not be confirmed or taken into account. Upon confirmation of the offer, the PR/PO/ED/TR/RT number must be communicated to Aramark. Without these numbers, the event will be automatically cancelled.

Invoice details, as specified below, must be communicated along with the PR/PO/ED/TR/RT number.

Prices listed in price lists, quotations, and agreements are, unless stated otherwise and excluding private consumers, always exclusive of VAT.

Logistical and other necessities such as plates, glasses, cutlery, chairs, tables, and table decorations are included in the agreed price, unless stated otherwise.
Hospitality Rules:

Aramark NV reserves the right to cancel a reservation if a higher authority mandates that a priority event (such as, but not limited to, a private office meeting, CONSEC event, or another significant event) must take place on the reserved date.

In the event of force majeure, we are not obliged to fulfill our obligations. In such cases, we may either suspend our obligations for the duration of the force majeure or terminate the agreement definitively.

Force majeure is any circumstance beyond our control that prevents the fulfillment of our obligations in whole or in part. This includes, but is not limited to: strikes, unexpected traffic jams, accidents on European roads, fire, business interruptions, power outages, failures in (telecommunication) networks or systems, website unavailability, non-delivery or delayed delivery by suppliers or other involved third parties...

Support Requests:
All support must be requested by the client via the official support platforms on Magellan or directly by email to the relevant support service. These costs will be charged to the client:

Staff Center bookings must be made via IFM.

The mezzanine area is exclusively for coffee breaks and must be booked in advance with the ICS Team.

Cancellations:
If the cancellation is made within 24 hours prior to the event, the full amount of the offer will be invoiced.

Complaints:
Complaints must be submitted in writing to Aramark NV, with sufficient justification, no later than one week after the date of the event. The notice of default must contain a detailed description of the shortcoming, so that we can respond appropriately.
